Refund Policy
1. Overview
Vinayaka Technology LLC (ClickVortex360) is committed to delivering measurable results for every client engagement. This Refund Policy outlines the conditions under which refunds may be considered.
2. Service Delivery Confirmation
All services are confirmed in writing prior to commencement via a signed service agreement or statement of work. Scope, deliverables, and timelines are agreed upon before any work begins.
3. Refund Eligibility
Refunds may be considered in the following circumstances: (a) Non-delivery of contracted scope within agreed timelines due to failure on our part; (b) Duplicate billing errors; (c) Cancellation of a not-yet-started project with written notice at least 48 hours before scheduled start.
4. Non-Refundable Items
The following are non-refundable under all circumstances: (a) Advertising spend deployed to Google Ads, Meta Ads, Bing Ads, or any other advertising platform — these funds are paid directly to the platform and cannot be recovered; (b) Completed work that meets the agreed-upon scope; (c) Monthly management or retainer fees for services already delivered.
5. Refund Request Process
To request a refund, submit a written request to info@clickvortex360.com within 7 business days of the relevant billing date. Include your company name, invoice number, and a description of the issue. We will review all requests within 5 business days and respond with a decision.
6. Dispute Resolution
Unresolved refund disputes will follow the dispute resolution process outlined in our Terms and Conditions, including mediation or arbitration as appropriate.
7. Third-Party Services & APIs
All fees paid for third-party services, APIs, software licenses, and integrations are strictly non-refundable. This includes but is not limited to: advertising platform fees (Google Ads, Meta Ads, etc.), third-party API subscriptions, SaaS tools, and any external service costs incurred on behalf of the client. ClickVortex360 has no control over third-party refund policies and cannot issue refunds for costs already passed to external providers.
8. Refund Request Window
All refund requests must be submitted within 10 business days of the disputed charge or service delivery date. Requests submitted after 10 business days will not be eligible for a refund under any circumstances.
Partial Refund Policy: If a refund is approved after services have been partially delivered, a refund of 35–40% of the service fee may be issued at ClickVortex360’s sole discretion, based on work completed.
9. Mid-Month & Late-Term Cancellations
If a client requests a refund mid-month (after the billing cycle has started) or after the service period has already commenced, no refund will be issued. Services are billed for the full period and work begins immediately upon payment receipt. Partial-period refunds are not available once service delivery has begun for that billing cycle.
